BOD Minutes 1/18/2009
Attendees: Frank Plewa, Dan Hove, Bob Riggs, Kim Schiller, Lisa Vencille, Harry Williams, Kody Bull, Dan Tongen, Tom Johnston, Scott Unkel

• NAHRA bank Account
o Motion to make the NAHRA Treasurer a co signor on the NAHRA bank account.
Motion passed
• Update from PR Director Scott Unkel
o RD’s need to get info to Scott regarding Regional dates and addresses for shipping of sponsor items
o Currently working with some parties to upgrade from banner ads to sponsorships
o Questions have arisen from prospects regarding NAHRA’s demographics
o Pheasant Fest
Dan Tongen and Dan Hove will determine who the contact will be for our sponsor regarding banner space at PF
• Website update
o Targeting the end of January to have the new website up
o Kim has been working through some issues with our web designer
• 501c3
o An extension of the deadline to respond to the IRS was given until the third week of March.
o Barring any major progress NAHRA may have to table the 501c3 status for a future date.
o Scott made contact with someone who could help but does not currently have the time
• Election updates
o Sandy is in the process of sending all club contacts confirm current officers that are currently up for election
o There will be no RD elections.
o All RD’s up for election are running unopposed
• Pocket rulebook
o Funding has been secured
o Bids for printing have been sent out
• 2010 Invitational
o SBDA is having monthly meetings
o Banquet and activities have been planned
o Website will be up Feb 1
o Grounds have been established
• Judges Eligibility Guidelines and Judges Clinic materials
o Tom J will plan to have presenter materials ready by the beginning of March
The Clinic manual will be the required portion and the PPT will contain the supporting material
• Alaska Regional
o Discussion to extend the Alaska regions qualifying period for a Regional to 16 months.

• Invitational bid process
o Frank and Dan H will put together a proposal of the timing of the bid process for the Invitational to be used going forward.

• 501C3
o A response to the 501C3 request indicated that there may need to be changes in the language made to the By Laws and or Articles of Incorporation in order to qualify for 501C3 status.
• Website
o The Data Base is almost complete
o The end of the month still looks good for having the site live
o the 2011 Invitational
• Dan H will send the sponsorship package out for review
o Comments are due back to Dan by 1-15-2010
• Bob Will email the approved Judges Eligibility Document to the BOD
• Kody is looking into the recognition patches

General Information My fellow members,

In the coming months you will see that NAHRA has secured some National Sponsors as well as companies and individuals who have purchased banner advertisements. We hope everyone will support these people who have now shown support for us. It will now be on you the membership to do your part in helping us to keep these folks coming back as well as attracting new clients and sponsors through your support of their products.

We are not asking you to change the products you buy and are comforable with currently. What we are asking you to do is if you are going to purchase products from these sponsors and or vendors, please let them know you are a NAHRA member, every time. This will assist us immensely with our future negotiations with them. You all wanted NAHRA to change and go after sponsors and sell advertisements, we are! So make sure that the work that our generous volunteers have put in does not go to waste by supporting their efforts. We are not asking for much, just tell the vendors you are a NAHRA member!

This is finally our chance to get NAHRA financially stable and move towards new growth. Don't forget, support our sponsors and vendors by making sure they know you are NAHRA!

2010 Executive Officer Election Process

Elections for the Executive Office positions of President and Executive Secretary will be held in 2010. The following process will be used for the election process. If you have any questions or concerns, please contact your Regional Director.

The Nominating Committee will take recommendations (prospective E-BOD candidates) from the BOD only. Any NAHRA member in good standing may recommend nominations to their Regional Director no later than Dec 15. The Regional Director may advance the nomination to the Nominating Committee, along with a recommendation concerning the nomination. These recommendations will be made in writing to the Nominating Committee along with supporting rationale also in writing.

The Nominating Committee will provide the proposed slate, and/or alternative candidates for E-BOD Positions to the BOD no later than 20 December.
Regional Directors will establish a list of NAHRA Club Representatives for clubs in their Region, and provide that list the Secretary.

The Secretary will forward the proposed slate, and/or alternative candidates for E-BOD positions to the NAHRA Club Representatives by January 10.

Each NAHRA club in good standing at the time that the secretary forwards the proposed slate will have one vote in the Executive Officer elections. The NAHRA Club Representatives will vote on the proposed slate, and/or alternative candidates for E-BOD positions by the 30th of January.
